How to Choose a Workforce Attendance System (2026 Buyer's Guide)
Attendance software looks simple on the surface — employees clock in, the system records it, payroll picks it up. But the market has dozens of products with wildly different assumptions about how your workforce actually operates. A system built for a single-office company will create daily friction for a business with field teams, multiple branches, or shift workers. This guide gives you a structured way to evaluate options before you commit.
Start with your workforce shape
Before looking at any product, write down a one-paragraph description of how your employees actually work. Include:
- Location split — what percentage are desk-based vs field-based vs site-based?
- Mobility — do employees travel between locations during a shift?
- Shift complexity — fixed hours, rotating shifts, or project-based flexible time?
- Scale — how many employees now, and what is the realistic three-year headcount?
- Connectivity — do all your work locations have reliable internet?
This paragraph will immediately disqualify some products and highlight must-have features in others. Skip this step and you risk buying the wrong thing.

Payroll & HR integration

- What payroll systems does it natively integrate with?
- If your payroll system is not on the list, does it export a standard format (CSV, Excel, API)?
- How are corrections handled — if attendance is amended after payroll runs, what is the reconciliation process?

A note on Saudi WPS (Wage Protection System): the salary file is submitted by the employer, through the Mudad platform or the employer's bank — not by the attendance system. What the attendance system should give payroll is clean, locked monthly data: days worked, lateness, early leave, absences, approved leave and approved overtime. Payroll turns that into deductions and additions, and the WPS file is produced from payroll. Ask vendors how that monthly data reaches your payroll, not whether they "do WPS".
